Production Manager

Division/Department: Events Team

Contemporary Productions, LLC, an innovative event, entertainment, and experiential marketing agency is looking for an individual with 5+ years experience in planning and executing events. An extensive knowledge in all areas of technical production and a superior level of client service are required skills for this position.

Essential Functions (Key responsibilities for this position)

  • Responsible for being onsite at CP Events to manage execution of technical production by overseeing all vendors/technicians/labor. For smaller events where an onsite production manager isn’t budgeted or needed, liaise with Project Manager or Booking Agent to ensure all details and expectations have been communicated.
  • Work with the Event Team on budgets, logistics, and vendor selection.
  • Manage all production vendor accounts to make sure that we are billed accurately for services rendered.
  • Must have an expertise in purchasing production elements.
  • Perform all site surveys. Conduct onsite meetings with vendors, clients, and colleagues, to walk through all logistics and head off any issues. This includes detailed measurements for accurate renderings, power evaluations, parking/loading logistics, general height and space restrictions, as well as venue rules and regulations that may impact necessary strategies for execution.
  • Responsible for providing and maintaining a SAFE environment for clients, colleagues, and vendors alike. Safety is always our first priority.
  • Coordinate with Project Manager to ensure all technical and production needs have been accounted for.
  • Coordinate with Entertainment Division on entertainment technical needs.
  • Communicate project updates to event operations team on a regular basis.
  • Responsible for being good stewards of client budgets.
  • Attend Client meetings to establish rapport and determine production needs and budget capability.
  • Attend brainstorming meetings and contribute to creative production ideas and plans for execution.
  • Consult project managers to help compose and distribute accurate production schedules for each event.
  • Responsible for researching and keeping abreast of technical event industry trends.
  • Build, maintain and manage expectations with all clients and vendors.
  • Responsible for prospecting and generating new business which includes new business ideas, new clients, growing an existing relationship by adding on services etc.
  • Assist/contribute as need be in the creation, research and development of project/event proposals.
  • Other projects and responsibilities may be added at the company's discretion.

Job Requirements and Qualifications

  • Ability to think strategically and work well under tight deadlines
  • Ability to prioritize work and maintain time management skills
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint) and MS Outlook
  • Must possess excellent organizational skills
  • Experience with CAD programs and/or Microsoft Visio

Other Information

  • Expected to work 40+ hours per week
  • Travel may be required for projects
  • Working weekends or weeknights is required
  • Capable of being on your feet for 15+ hours during events
  • This is a full time position that includes salary + benefits

Project Manager

Essential Functions (Key responsibilities for this position)

  • Managing technical for Contemporary Productions from conception to conclusion. This includes:
    • Identifying client needs and objectives
    • Developing creative solutions and entertainment options to satisfy client objectives
    • Developing written and visual proposals
    • The ability to present ideas and proposals to clients in a formal setting
    • Serving as day-to- day/main client and overall project contact
    • Draft/send contracts
    • Create detailed production budgets
    • Create and maintain production schedules
    • Venue and vendor selection as well as contracting and terms
    • On-Site event management
  • Assist/contribute in the creation, research and development of project/event proposals.
  • Coordinate with Production Manager to ensure all event logistics, including technical and production needs, have been accounted for.
  • Coordinate with Entertainment Division on talent needs.
  • Communicate project updates to event operations team on a regular basis.
  • Responsible for being good stewards of client budgets.
  • Build, manage and reconcile project budgets. Accountable for all project-related financials (invoices, deposits and balances).
  • Responsible for researching and keeping abreast of event industry trends i.e. décor, production, and entertainment.
  • Build and manage expectations with all clients and vendors.
  • Assist in prospecting and generating new business which includes new business ideas, new clients, and growing an existing relationship by adding on services, etc.
  • Other projects and responsibilities may be added at the company's discretion.
