Accounting Clerk

Division/Department: Admin

The Accounting Clerk is responsible for bill payment/processing, financial support, and, as needed, administrative support. This position reports to the Director of Administration and is responsible for maintaining and updating financial records using data bases, spreadsheets, and accounting systems that track expenditures, revenue, receipts, cash flow, and other financial activities. This position has a high degree of discretion and independent judgment and may act as an inside consultant on billing matters.   

Essential Duties:  

  • Maintain accurate records in QuickBooks®. 
  • Review all invoices for appropriate documentation and approval prior to payment or obtains such documentation and approval. 
  • Prepare all payable checks and obtains signatures accurately and timely as well as distributes checks as required.  
  • Maintain all accounts payable reports, spreadsheets, and payable files. 
  • Apply cash payments within accounting system accurately and timely. 
  • Maintain all accounts receivable reports, spreadsheets, and receivable files. 
  • Prepare and distribute year-end 1099’s. 
  • Reconcile all company credit card accounts – includes requesting/reviewing credit card transaction receipts from all cardholders. 
  • Maintain the chart of accounts and an orderly accounting filing system. 
  • Maintain fixed asset ledger and manage retirements and new asset additions. 
  • Manage and account for travel and expense reimbursements. 
  • Support the preparation and coordination of the month-end and year-end financial statements. 

 Required Qualifications: 

  • Bachelor’s degree in Accounting, Finance, or relevant degree with at least two years of Accounting, Finance, or 5+ years of experience; or equivalent combination of education and experience. 
  • Comprehensive knowledge of accounting and/or financial procedures and principles and business concepts. 
  • Strong interpersonal and communication skills.  
  • Analytical mind with strong conceptual and problem-solving skills. 
  • Meticulous attention to detail with the superb organizational skills. 
  • Ability to work under pressure and meet tight deadlines. 
  • Ability to work independently and as part of a team. 
  • Ability to work closely with a senior management team. 
  • Proficiency in MS Office and competency in accounting software (e.g. QuickBooks). 
  • Ethical behavior when dealing with sensitive financial information. 

Preferred Qualifications:  

  • Experience in accounting/reporting for entertainment industry will be advantageous. 
  • Knowledge in CRM software (e.g. Filemaker, Salesforce, etc). 
  • Knowledge in travel and expense software (e.g. SAP Concur).

Event Production Manager

As a Production Manager, you will collaborate with our project managers and clients to help with the planning of each event you touch.  With your impeccable knowledge of purchasing rental equipment and services for events such as audio/visual, staging, tenting, power, labor, and additional site op needs, you’ll bring the clients’ vision to life.  You’ll be a can-do planner and pro-active problem solver who balances all aspects of planning an event from concept development all the way to the event debrief.  Along the way, you’ll work with talented booking agents, art directors, and partners who help bring big ideas to fruition.
